Shop Inventory

WinCAMS Shop Inventory module provides the ability to track inventory levels at multiple Shop Locations, charge stock Parts out directly to Vehicles and Repair Orders, use barcode technology to manage large volume of Parts, assist in re-ordering Parts, etc.

Inventory tracking
For each Inventory Part No the program tracks:
  • Quantity on Hand, Average Unit Cost and Current Value
  • Receipts
    • Automatically created from Invoices (vendor payments of inventory purchases)
    • Manually entered
  • Issues (Usage) are entered and each Part Issue can immediately be allocated to:
    • Activity Codes: Activity-based Cost Accounting: Costs by Activity (Task) Code
    • Projects: Project Ledger: Billing, Grants, Funding Sources
    • Roads and Routes: Maintenance History and Costs by Road (with Mileposts)
    • Bridges: Maintenance History and Costs by Bridge
    • Cost Centers: Annual State Road Report cost categories such as New Road Construction, Bridge Construction, Road & Bridge Maintenance, etc. (CA only).
    • Budget Accounts: Detailed BARS Expenditure Account Nos that also itemize categories such as New Road Construction, Bridge Construction, Road & Bridge Maintenance, etc. (WA only).
    • Vehicles Nos & Repair Orders: Maintenance History and Costs by Vehicle / Repair Order
    • Service Requests: Costs of each Service Request: Billing, Tracking
      • Facilities: Track all Work Activity on Buildings and County Property
      • Roads & Bridge Operations:
        • Track Work Orders by Road and Bridge
        • Track Work Orders by Sanitary Sewer Node
        • Track Work Orders by Storm Sewer Node
        • Track Work Orders by Water Account No (Meter Address)
    • Radio Shop: Track Work Orders by Communication Asset Unit
    • Adjustments: corrections and adjusting entries
    • Inventory Transfers: move inventoried stock from one Location to another Location
    • Vendor Purchases history
Barcode Label Printers, Wedge Readers and portable Readers are available to automate processing of:
  • Receipts: program provides options to print Barcode labels for newly purchased stock
  • Issues
    • Wedge Reader (connected to PC): used to read Barcode label and eliminate data entry of Part No
    • Portable Reader (battery-powered): used to collect multiple Issues transactions and, at the end of the day, upload all Issue transactions to update Inventory levels / tables.
  • Physical Inventory
    • Portable Reader (battery-powered): used to collect actual Inventory Counts and, at the end of the day, upload all Inventory Counts to create Inventory Adjustments that account for the discrepancies between CAMS Inventory levels and actual physical Inventory levels.
